Detailed procedures for proposing a scientific event at the CRM

The CRM issues a call for proposals for high-level scientific and outreach activities in mathematical sciences and statistics

Thematic Program

We are currently soliciting letters of intent for thematic programs to be held in 2028 or later years. Letters of intent should be submitted by October 15 to proposals@crm.umontreal.ca.

General Program

This framework concerns scientific activities such as workshops, conferences, schools, etc., as well as outreach activities, independent of a thematic program. The deadlines for submission of proposals in this setting are February 1, June 1 and October 1 of each year.

Requirements

All activities must be of clear scientific interest and relevant to the state of the art in the respective topics, with particular attention to the research areas of the CRM members. This aspect must be detailed in the proposal.

Inclusion and diversity 

The CRM  is committed to taking into account diversity and systemic and individual barriers to access (e.g., related to ethnicity, gender, disability) when developing its programming.

The CRM has set a general target of 40% of key speakers (organizers, speakers, guests – depending on context) from historically underrepresented minorities in the mathematical sciences and young researchers. We encourage organizing teams to make efforts in this direction and to explain their approach in their event proposals. Any funded activity is eligible for additional financial support of about 10% of the normally allocated budget to support efforts in this direction.

Submission Guidelines

Thematic Programs

Letters of intent for the thematic program must include the following information:

  • the title of the program;
  • the C.V. of each member of the organizing committee;
  • a scientific description of the event, including major research, training and outreach activities;
  • a tentative list of key invited participants and their potential role in the program;
  • a schedule of activities. 

Scientific activities for thematic programs typically include workshops, conferences, schools, and short- and long-term visitors, including Aisenstadt Chair holders. Proposals are reviewed by the CRM Management Committee, the Local Scientific Committee and the International Scientific Committee. If the program is accepted, members of the organizing committee will be responsible for organizing the thematic program with full support from the CRM staff.

Those interested in proposing a thematic program are encouraged to contact the CRM Director or the Deputy Director for Scientific Programs to discuss their proposal before writing their letter of intent and sending it to proposals@crm.umontreal.ca.

General Program – Submit an Activity Proposal

Proposals for activities under the CRM’s General Scientific Program must be submitted using this form and must include the following documents:

  • a complete proposal with title;
  • the C.V. of each member of the organizing committee;
  • a preliminary budget

This form applies to both:

  • activities organized at the CRM that require logistical support;
  • activities organized outside the CRM for which financial support is requested.

We encourage you to provide as much information as possible to facilitate the evaluation of your proposal.

Submission Deadlines
Proposals for activities lasting one week or longer must be submitted at least nine months before the planned start date of the activity.

Evaluation Process
All proposals are first reviewed by the CRM Management Committee.

  • Funding requests exceeding $7,000 are then submitted to the Local Scientific Committee.
  • Requests requiring funding of more than $10,000 are also evaluated by the International Scientific Committee.
  • The International Scientific Committee meets twice a year to review the proposals submitted to it.
