Administrative and Immigration Procedures

All non-residents of Canada planning an extended stay at the CRM , including postdoctoral fellows and visiting researchers, must complete certain administrative and immigration formalities.

1. Before arriving in Canada

Immigration procedures

  • A valid passport is required to enter Canada.
  • Depending on your nationality, you may need a visitor visa or an electronic travel authorization (eTA).
  • It is recommended to contact the nearest Canadian embassy or consulate to confirm the current requirements and to schedule an appointment for your application submission.

Work permit (if applicable)

  • A work permit is mandatory for stays longer than 120 days;
  • You must pay the processing fees required by the Government of Canada;
  • The work permit must cover the exact duration of your stay and list all affiliated institutions (e.g., Université de Montréal and McGill University);
  • If the dates or conditions of your stay change, a new official letter must be issued by the CRM.

Typical supporting documents

  • Certified copy of your degree (or official letter confirming thesis defense);
  • Updated curriculum vitae (CV);
  • Copy of your passport;
  • Signed job offer or invitation letter;
  • Letter from your home institution (if applicable).
2. Upon arrival at the CRM

Once you arrive in Montréal, please contact your program coordinator to arrange:

  • The handover of your keys;
  • A tour of the facilities;
  • Verification of your institutional access (email, UdeM credentials, etc.).
3. Steps to complete after settling in

Quebec Health Insurance Card (RAMQ)

  • Registration with the RAMQ is mandatory for all stays exceeding three months.
  • Submit your application to the Régie de l’assurance maladie du Québec (RAMQ).
  • There may be a waiting period of up to three months before your coverage takes effect at the Université de Montréal.
  • Some nationalities benefit from bilateral agreements allowing immediate coverage—please check with your consulate.
  • In the meantime, temporary private insurance is strongly recommended.

Social Insurance Number (SIN)

  • A Social Insurance Number is required for any paid activity in Canada.
4. Information Based on Visitor Status

Postdoctoral Fellows

Postdoctoral fellows employed by the Université de Montréal will receive institutional credentials before their arrival:

  • Permanent Code: a unique identifier assigned by the Université de Montréal;
  • UNIP: a temporary personal identifier granting access to institutional email and the UdeM portal;
  • UdeM Portal: a platform providing access to online services (student records, emails, library resources, etc.).

Visiting Researchers

Visiting researchers receive an official invitation letter from the CRM specifying the dates, duration, and conditions of their stay. This document is required for visa applications, insurance coverage, or reimbursement of expenses.
